Managing a Multi-Room Conference: File Distribution & Room Status
Twelve breakout rooms, forty speakers, updated slides arriving until the last minute — the backstage logistics of a multi-room conference are harder than any single session. Here's what actually scales.
The pattern that breaks first: the USB stick relay
A runner walks a USB stick from the speaker-ready room to each breakout room. It works for three rooms. At twelve rooms, with speakers updating slides five minutes before their slot, the runner becomes the bottleneck — and the single point of failure for the whole day.
Option 1 — A shared cloud drive
Better than USB sticks, but it assumes reliable venue internet and every room PC being logged in, synced and not fighting for bandwidth with four hundred attendees on the same Wi-Fi. When it works, it's fine. When the sync spins on the file the speaker needs in ninety seconds, it's the worst possible moment to debug it.
